What are setup and breakdown in catering?

Updated on

Preparing the space, furniture and service before an event (setup) and clearing and collecting everything afterwards (breakdown).

Catering setup and breakdown is the work of preparing the space before the event (placing tables, linen, stations, drinks and tableware) and of clearing everything away at the end (collecting items, cleaning the service area and taking the equipment away). Some caterers include it in the quote; others charge for it separately.

What setup includes

  • Placing buffet tables, high tables or side tables, and the table linen.
  • Laying out the tableware, trays and drinks stations.
  • Setting up the stations, in the case of a live food station or live cooking.
  • Having the food ready to serve at the agreed time.

What breakdown includes

  • Collecting the used tableware and the leftovers from the service.
  • Removing any tables and stations the caterer has brought.
  • Leaving the service area clean, as agreed with the venue.

What to agree beforehand

Time and access matter as much as the food: what time you can get into the venue, whether there is a lift or a loading bay, how long the setup takes and by what time the venue must be left clear. An office and an IFEMA hall work to very different time windows. That is why the quote should say whether setup is included or extra, as it should for front-of-house staff; in the price guide we explain how to compare those items.
